Privacy Policy

1. Who is responsible

SEBI — Skills Evolution Business Institute (Q² Studio) (registration 2017/274453/07) is the responsible party for personal information processed through Q² Studio, under the Protection of Personal Information Act 4 of 2013 (POPIA). Contact our Information Officer at admin@sebihad.co.za.

2. What we collect

Account details: your name, email address, training provider name, CIPC registration number and a salted password hash (never your password itself).

What you upload and generate: curricula, branding (logo, colours) and the documents generated for you, with each job's processing log.

Payments: order records and PayFast's payment reference. Card details are handled by PayFast only.

Support: the tickets you open, their messages and attachments, and — when a ticket concerns a job — a copy of that job's diagnostics.

Essential cookies only: the session cookie that keeps you logged in (and, for our staff, one used by the admin tools). We use no advertising or tracking cookies.

3. Why we process it

To provide the service you signed up for (generating, storing and delivering your packages), to take payment and issue invoices, to answer support requests, to keep the platform secure, and to meet legal obligations such as tax records. We also use what our quality checks and your support tickets find to improve the generators for every customer — we never use your curricula or documents to train AI models. We do not sell personal information.

4. Who processes it with us

Google (the Gemini model) processes the curriculum text and generation prompts to produce your documents; PayFast processes payments; our email provider delivers account and job emails; our hosting provider stores the platform's data. Each processes information only for that purpose. Some of these operators may process information outside South Africa, under safeguards POPIA requires.

5. How long we keep it

Your account, packages and generated documents are kept while your account exists, so you can download them again. Deleting your account (Account, then Delete my account) deletes its jobs and documents, saved curricula, branding and logo, and support tickets. Orders and their invoices are kept, detached from the deleted account, for five years, as South African tax law requires; cancelled and failed orders are deleted. The server's processing log, which names job references, qualification titles and errors, is rotated daily and kept for at most 90 days.

6. Emails we send

Only the emails the service needs: confirming your address, password resets, job and support notifications, and receipts. We do not send marketing emails.

7. Children

Q² Studio is for training providers and is not directed at anyone under 18. We do not knowingly collect children's personal information; if you believe we have, write to admin@sebihad.co.za and we will delete it.

8. Who can see it

Only you, and our staff where needed to operate the service or answer your support request. Staff access is limited to administrator accounts.

9. Your rights

You may ask what personal information we hold about you, ask us to correct or delete it, object to processing, and withdraw consent where processing relies on it. Write to admin@sebihad.co.za. You may also complain to the Information Regulator (South Africa): inforeg.org.za.

10. Security

Passwords are hashed with bcrypt; sessions and links are signed; payment notifications are verified with PayFast before they take effect; access to the platform's data is restricted. No system is perfectly secure: if a breach affects your information we will tell you and the Information Regulator as POPIA requires.

11. Changes

We may update this policy. We will email you before a material change takes effect; the date below shows the latest version.
